As a Virtual Assistant, I can’t think of anything I do that is more important than calendaring. I plan my week and work my plan.
If it isn’t on my calendar, I won’t remember it. VA’s work with multiple clients, and many, many deadlines. It has to go in or it doesn’t get done.
My calendaring process is huge. It starts with an annual plan in November and December, which is a birds eye view of the big picture. That filters down into a monthly plan. Finally, I plan my weeks in the Friday before and my days the night before… all in advance.
- My business calendar is my base, in teal, it holds my foundation.
- My personal calendar, in yellow, holds the obvious.
- Each client is a separate calendar in a separate color.
When I am in full view, I can see every calendar, and each appointment or block of time reserved for a task or a client shows up in their color. With only a glance, just by the colors, I can tell who I am working with at any given time.
Of course, drilling down, I get more detailed. But, I love seeing things in blocks of color and knowing what is happening when, just at a glance.
I love having things separated out, too, so I can remove all my clients stuff and only view my own.
The most important thing, though, is that it goes on the calendar.

Wow, color coded even. 🙂 I post a reminder to my Google calendar that sends me reminders. On a daily basis, I write down my top 10-12 items and work the list!
